Client and Practitioner Agreement – Terms and Conditions
Please read through this agreement thoroughly.
This agreement is in place to protect both our interests, the business ‘Luminurse Therapies’ and other clients in order to provide the best possible service.
If you have any questions, please ask.
1. Payment and Cancellation
1.1. Payment: Please pay for your initial consultation session when you book a date and time, via the website, in cash, cheque or BACS: 'Highest Touch Ltd' account number 53366227 Sort code 20-11-43 (the company trades as Luminurse).
All treatment fees are non-refundable once used. Timely payment is vital. If you have paid for a course and you think you are still not responding after 3 or 4 sessions, a refund will be given on the unused sessions at the discounted price (rather than the full £35/30 minute session for example).
If your circumstance means you earn a concession, we will agree on a suitable way of paying for the course.
I reserve the right to cancel treatment courses and payment terms if agreements are not met. If you have any difficulties with this, please let me know, so that we can agree on a suitable alternative. As a full-time Mum of a young family relying on my business I am truly grateful for your amenability.
1.2. Appointment timing and duration: Please stick to our agreed appointment time and duration, ask if you need a reminder text. There is a lot to cover, hence the 15min discussion time before the actual appointment. Please arrive on time and be prepared for the treatment. Unforeseen events may sometimes make us less punctual but please understand I will not inconvenience other clients because of them. We may need to rearrange so let me know ASAP if you are more than 5 minutes late.
1.3. Cancellation Policy: Please give 24-hour’s notice before cancellation/rearranging where possible.
Appointments are given with the laser’s best functionality in mind: it may prolong the course or not give the results we expect if there are large gaps (more than 1 week) between treatments. I adapt my lifestyle to suit the client’s healing protocol so your commitment & respect for this is greatly appreciated. I allow one 'emergency' change but if it keeps happening there will be a £20 rebooking fee, payable when the new appointment is confirmed.
With regards to laser treatment, please understand the results are cumulative, and continuing sessions after the initial symptoms have gone will result in more complete healing. If you need to take a break from your treatment programme, please discuss this with me as soon as possible, so that we can make alternative arrangements to suit you. This may extend the healing time.
2. Client Health
2.1. Disclosure of medical conditions and contraindications: you will be asked to complete a confidential form before your first appointment. Please complete this thoroughly and mention any medical conditions, undiagnosed symptoms, medical treatment and medication. I will need permission from your Vet if I am treating an animal under your care.
-
Laser therapy is contraindicated (should NOT be given)
-
over a cancer or suspected cancerous growth, or metastatic cancer. Thjis is because the laser is a biostimulant and encourages growth. There is published data & NICE guidelines regarding treating oral mucositis in children undergoing chemotherapy to enable them to eat – please let me discuss with your doctor if this is the case.
-
eyes;
-
thyroid tissue;
-
pregnant wombs;
-
or if a steroid injection has been given within 7 days.
-
Laser therapy is given with care over tattoos, numb areas or areas with reduced sensory perception. I need to know if you are on photosensitising drugs or lotions.-
I also need to know if you have advanced organ disease such as kidney failure or diabetes as it reduces the amount of areas I treat at one time, so as not to put too much strain on an already stressed physical body.
-
If you are on statins, it is advisable to take a supplement known to boost production of ATP (cellular energy) called CoQ10, 100mg daily. Please check with your doctor first.

-
EYE PROTECTION MUST BE WORN. Collimated infra-red laser light is not visible to human eyes but is damaging to the retina. As a result, anyone within a 4.8metre radius must wear certified eye protection. I will provide these.

Massage therapy is contraindicated (should NOT be given) for the following conditions or situations: fever, cold or infectious disease; skin disease; high risk pregnancy; recent surgery or an acute injury; intoxication of drugs/alcohol; high blood pressure or within 6 months of having a heart attack or stroke (Doctor’s permission still required); severe unexplained internal pain; advanced organ disease such as kidney/respiratory/liver failure or hepatitis; appendicitis; metastatic cancers; diabetes 1 or 2 PLUS advanced heart or kidney conditions; sepsis; shock; Toxic Shock Syndrome (TSS); infectious skin disease such as cellulitis, psoriasis (red areas with silver scaly patches), impetigo, or staphylococcal infections. If in doubt, get permission from your Doctor before proceeding.

Reiki Therapy: there are no contraindications however I abide by the terms and conditions laid out by the UK Reiki Federation.
Under accordance with the Veterinary Surgeons Act 1966, Reiki is seen as the laying on of hands and is not generally regarded as the practice of veterinary surgery as defined by the Act.
I need this information in order to give you safe, effective treatment. If you do not tell me something of importance, I may give you unsuitable treatment, for which I cannot be held responsible.
2.2. Consultation with your GP: If it is seen to be in your best interest to discuss our treatment plan with your Doctor, I will obtain your explicit permission first.
If you are not happy to involve your GP, then I may not be able to proceed or continue with your treatment. If you tell me that you have involved your GP when you have not, then this is at your own risk.
2.3. Maximising the Healing Plan: If we decide on a course of treatment, your collaboration is needed to optimise the healing outcome. You may feel better after a treatment, however, pain relief is not always an indication that use can return to normal. Please stay guarded for at least a few days post cessation of treatment. For example, we have treated your sprained ankle and it feels good- do not go for a 5km run the next day! Ease back into normal activities, following any advice from physio/doctor etc.
In the case of chronic pain and or conditions, I recommend you seek a Doctor's opinion first before you see me. The more accurate the diagnosis, the more accurate I can be with the laser. The more you follow guidance from your qualified health practitioner with regards to nutrition, exercise, lifestyle choices, and mindset, you more you will create a healing environment, and the more you will gain from a 12-week course of laser therapy. The laser can reduce recovery times by as much as 70% if the body is given the chance to utilise the healing benefits of the laser.
2.4. Clients with disabilities: If you have any disabilities or support needs, please discuss these with me as soon as possible. This will enable me to make provisions or to refer you if I am unable to meet your needs.
I may ask you to make certain provisions yourself, such as bringing a companion with you if you need support with personal care or communication.
Please note that my current clinic location is on the ground floor of our home, which is accessible only by two small steps. I can also visit you at home with prior arrangements.
If for some reason we are unable to carry out our treatment because I was not informed of support requirements, the full treatment fee may still be applicable to cover my costs.
2.5. Conditions requiring bandages: If the area is bandaged such as an ischaemic ulcer, I will need a suitably qualified person to be there in order to unbandage, clean the wound and then rebandage after the laser treatment (this may be you if it has been going on for a long time).
2.6. Referrals to other practitioners: if I think you need medical investigation or treatment which I cannot offer then I will refer you to another medical or complementary health practitioner, as appropriate. It is always your choice to follow any recommendation and I cannot be held responsible for the action of that practitioner. If I think it unsafe for me to proceed with your treatment, I will not give it.
2.7. Referrals from a Medical Practitioner: if you are referred to me by your GP or another practitioner, then the referring practitioner will remain responsible for your treatment.
2.8. Intoxication: please ensure that you are not under the influence of alcohol or recreational drugs at the time of your treatment. If you are, then I shall be unable to treat you, both for your protection and mine.
2.9. Post Treatment: We are stimulating healing so please take it easy over the next 24 hours. Keep hydrated as this helps the body flush out toxins, eat healthily and get an early night if possible. Avoid alcohol to give the body a chance to focus on healing rather than detoxing. Make a note of any sensations felt in the treated area in order to help me tailor the treatment the next time I see you. Increased sensitivity is sometimes reported after a laser session, this is normal but please let me know. Before driving home, make sure you are fully alert.
3. Confidentiality
3.1. Confidentiality and Disclosure: all personal information that you give me is kept strictly confidential. All written notes are stored in a locked cabinet and as encrypted files on my computer and can only be accessed by me. You have the right to request a copy of your information I hold at any time.
There are exceptional circumstances when I may need to disclose something which you have told me. This would be if there was any risk of harm to you or someone else, or if I should need to provide legal evidence.
I shall always seek your consent and cooperation first. I may be able to avoid disclosure by encouraging you to seek further help or advice. If I cannot gain your consent, but remain seriously concerned for your safety or someone else’s, then I may have to disclose the information to an appropriate professional without your consent.
There is a Privacy Policy document on my website https://www.luminurse.co.uk/privacy-policy
3.2. Third party attendance: Please check with me if you’d like to bring someone or prefer to have a chaperone, just to ensure I am prepared. Ideally treatments are carried out one on one so I can maintain my full focus on you. I adore children but it is best to have them supervised by your trusted supporters in order to let you get the most from your treatment. Laser light is harmful to eyes and hence protective goggles are worn, and children are not always the best at co-operating!
4. Vulnerable Clients
4.1. Children under 16 years: children are welcome to receive treatment, but must be accompanied by a responsible adult at all times. If treating a child, I will need the following statement signed by you, ‘I have been advised by (Practitioner’s Name) that according to Law I must consult a doctor concerning the health of my child (Name)’. This needs to be witnessed, dated and kept with your records.
4.2. Vulnerable adults: Adult clients who either lack the capacity to give informed consent or who need support to make decisions, must be accompanied by a responsible adult at all times during the treatment.
5. General Conduct
5.1. Personal Hygiene: It is important that the area to be treated is clean and free from lotions. If having a full body massage, please ensure flexible, dark underwear is worn, I can work around it. Please note I use oils for massage and there may be small marks from the oil.
5.2. Respect: it is important that we have mutual consideration and respect for each other and towards everyone else. This creates a nurturing and safe space. The laser doesn’t work through garments. Depending on your conditions, I will need to sometimes work around underwear but I will never ask you to take underwear garments off. We will always use towels to protect your modesty and mine! If we are treating hips, small or flexible underpants are appreciated! Let’s discuss this before you come in so we can both feel reassured your comfort is maintained.
Please note that I offer a professional therapy service and cannot accede to inappropriate requests.
If a client’s behaviour were to cause discomfort or offence, then we would stop treatment.
6. Pets (Including Horses)
6.1. General: I will always endeavor to protect and enhance the health and welfare of an animal presented to me. I am a registered veterinary nurse (RCVS number 6184890) and abide by the Code of Ethics and Conduct set out by the RCVS.
6.2. Veterinary Surgeons Act 1966: The law states that is an offense for anyone to administer treatment to an animal without explicit permission from a member of the RCVS. While I am a registered veterinary nurse, I cannot diagnose conditions, and I can only give treatment and/or advice ‘under the supervision of a veterinary surgeon'. Laser therapy works best in collaboration with your vet’s advice and history, so please ensure you have permission before we start.
In the case of a booked appointment and no written permission from your vet, I will not be able to treat and the treatment charge will still be incurred.
I do not currently offer a massage service for animals.
Reiki therapy is not seen as a treatment by the RCVS, therefore permission is not required from your vet before a reiki session is given. However in the interest of welfare for your pet, it is important to have your pet checked and get a diagnosis before any treatment is given. For example, behavioural issues may have a medical element that is not obvious without diagnostic tests.
6.3. Observations and reporting to your vet: As part of my service I observe and take notes of any changes or irregularities I see while a treatment course is underway. I will communicate with your vet (with your permission) any observations that may assist in the treatment of your pet and what has worked for similar conditions under my care. At the end of the treatment, I will send a report to your vet.
6.4. Duty of Care: I need to know if the animal dislikes being touched or approached in a certain way before the treatment. I also need you to help protect me and suitably restrain the pet (especially with regards to horses) if I am treating a limb or painful area. If I am unsure I will ask for help and I reserve the right to refuse to give treatment if I feel unsafe. I grew up among horses and pets all my life so have a solid understanding of them, but your experience is always vital to outcome success!
6.5. Creating a Space: If I am visiting you at home, please have a quiet spot for us to work, preferably with just you and a closed room. If receiving laser therapy, anyone within a 2.5m radius needs to wear suitable eye protection. Reiki treatments benefit all but I need to focus, so no noisy children or pets during the treatment, thank you. If on the yard, I will need an area undercover (or someone with an umbrella) if it is raining, to protect the laser.
6.6. Assistance dogs: if you own or train assistance dogs, you are welcome to bring one dog, but please let me know first. If coming to the clinic it may be best if only the patient to be treated comes in as I have limited pairs of protective eyewear for laser treatment (Doggles).
7. COVID19: If you or someone you have been in recent (7 days) contact with have any of the following symptoms then please do not attend the appointment: High temperature, new continuous cough or change in smell and/or taste. The symptoms are variable, please let me know if you are feeling unwell.
Human safety is maintained using the current advice from https://www.gov.uk/government/publications/covid-19-personal-protective-equipment-use-for-non-aerosol-generating-procedures and any guidelines posted on http://www.gcmt.org.uk/.
Please note you are welcome to sanitise your hands using 70% alcohol solution before we start and at the end. If you are allergic to hand sanitizer please bring a suitable equivalent with you.
Any equipment and contact points will be sanitized using NHS standard wipes.
Further notes:
-
Massage: Fresh towel roll and cotton sheets/towels will be used for each patient. The table is wiped down after each use. Linen is then washed at 60C which has been shown to reduce levels of virus to non-infective levels.
-
Home Treatments: Adequate ventilation has been proven to reduce likelihood of Coronavirus transmission so please open windows in the room where we are to treat before I arrive. Wear extra layers and have blankets to hand so you can stay warm.
-
Pets: I follow the guidelines set out by the British Vet Association https://www.bva.co.uk/coronavirus. Your patience is appreciated.
